When departments or individuals purchase new computers, it is important that they report the computers they are replacing to the Office of the Vice Chancellor for Administrative and Fiscal Affairs along with the serial number of the computer and a description of its capabilities.
Conversely, each department that has a computer need should report this to the Vice Chancellor for Administrative and Fiscal Affairs. A list will be compiled so that matches can be made between needs of departments/individuals and computers that become available. A monthly review of the used computer lists will ensure expeditious placement to maintain their usefulness.
Once a quarter, the list of surplused computers and their new owners will be taken to the Chancellor's Cabinet for review.

Property Inventory Department's responsibility to complete the necessary paperwork,
and obtain the appropriate signatures to transfer the computer(s) to the new
area(s) in order to maintain accurate inventory records.
