Checklist for Tenure and Promotion Candidates

2009-2010

Please verify that each item or category has been included in the dossier or file and completed per PRC guidelines.  INDICATE WITH A CHECKMARK THAT EACH ITEM HAS BEEN INCLUDED AND IS COMPLETE AS REQUESTED. Members of departmental executive committee should sign at bottom certifying completeness of evidence contained in dossier and file, and insert this checklist at the beginning of the candidate’s dossier.

 Technical notes : All materials submitted in the file must be mentioned in the dossier. Use tabs to divide the major sections. Consult the AACSU document, “The Core of Academe” for assistance in categorizing the candidate’s accomplishments (available online at http://uwp.edu/staff/gov/faccom/prc/AASCU.cfm).

1.1 Departmental policy on promotion and tenure criteria 

 

 

1.2 Cover letter from the executive committee (normally composed by the chair but approved by the executive committee) recommending tenure and/or promotion Letter states years of credited probationary service (if seeking tenure early, explain reasons) Letter summarizes candidate’s record in teaching, scholarly/creative activity, and service Letter includes committee’s evaluation of candidate’s work in each area Letter includes names of executive committee members present at the meeting and the numeric vote

 

 

1.21 Optional: in cases where the vote is split or the executive committee is not unanimous in backing the support letter as written by the chair, letters from other members of the executive committee may be submitted. Each member has the right to submit a separate filing, but the candidate has the right to respond to any negative filing. PRC will set a cut-off date for submission of these letters.

 

 

1.3 Confirmation by chair or executive committee of terminal degree and verification of any significant employment with chair or executive committee signature.

 

 

1.4 Original contract letter and renewal letter(s).

 

 

1.5 Progress toward tenure letters.

 

 

1.6 Candidate’s curriculum vita containing:

Formal education (undergraduate, graduate, post-graduate, etc.), including institutions attended, locations, dates of attendance, degrees or other certification received, and dates of receipt of degrees.

Employment history (in reverse chronological order), including employers, locations, dates, titles and responsibilities, awards and honors. Complete listing of courses taught, publications or other scholarly or creative activity, service activity, and any grants awarded in any of these categories.

 

 

 

1.7 Candidate’s merit ratings. (Teaching must receive the most weight) Statement on how often the department prepares merit reviews. For each rating (teaching, creative activity, service, and overall rating), include the department’s low and high scores Analysis of the candidate’s ratings compared to those of his/her colleagues

2.1 Candidate’s Philosophy of Teaching statement.

Documentation relating to courses taught (syllabi for all courses), plus any other documentation the candidate wishes to supply which will give evidence of teaching strengths; e.g., exams, sample student papers).

2.3 A summary of results on student evaluations. Analysis of results provided by the executive committee

2.5 Other measures of teaching effectiveness used by the department (for example, peer evaluations).

 

Student letters (may be solicited by candidate or chair).

2.6 Grading patterns in courses taught by candidate. Comparisons of candidate’s grading patterns to others in the department; in multiple section courses, or when courses also have been taught by others, compare to grades given by others.

 

 

2.7 Description of any grants (submitted or funded) relating to teaching. (If there are no grants, state NO GRANTS TO REPORT.)

SCHOLARLY ACTIVITY/ RESEARCH AND CREATIVE ACTIVITY

 

SCHOLARLY ACTIVITY/ RESEARCH AND CREATIVE ACTIVITY

3.1 Candidate’s statement detailing philosophy of creative/scholarly activity or research, describing research or creative/scholarly agenda to date, and showing relationship of various projects (phrased so people outside the discipline can understand it).

 

 

3.2 Chronological listing of all research or other scholarly or creative activities. Full bibliographic information on publications, including author(s), name of journal, volume, issue, year, and page numbers, with equivalent information for shows or performances, or media products. In the case of joint publications, the % of authorship of the candidate should be stated And also in the case of joint publications, the valuation by the department of the candidate's contribution should be explained.

 

Single copies of all works listed, whether  printed, audiotapes, CDs, DVDs, videotapes, portfolios, etc.

3.3 Statement on rejection rates for each journal, whether the journal is peer reviewed or not, and the stature of the journal in the field, or showing or performance. For book chapters or books, explain process of selection.

 

 

3.4 For works in press, list the number of manuscript pages, and further information on the status of the work.

 

For works listed as accepted, letters confirming this status. Include page proofs, if available. If work appears while case is under consideration, send a copy to PRC. If new work is accepted while case is under consideration, submit documentation.

3.5 Three or more letters from outside evaluators not closely connected to the candidate (not from a dissertation committee member, collaborator, co-author, or departmental colleague). All reviewers should have the opportunity to review a substantial portion of the author's work. 4.2 Chronological listing of all activities relating to service, including the following categories:  to the department, to an academic program, to the school or college, to the university, to the community, to the profession.

 

Support letters from persons on or off campus who can offer thoughtful appraisals of the candidate’s contributions in any of the areas listed (e.g., committee chairs, professional society leaders, community leaders).
