Display Cases Policy
University of Wisconsin-Parkside Library

 

 

The UW-Parkside Library has eight display cases (four table cases and four built-in wall cases) located in the main lobby. These display cases are available for use by the campus community for scholarly and UW-Parkside-related displays. Display requests are reviewed and approved/denied in accordance with the guidelines and procedures listed below, which exhibitors must agree to follow. An exhibit may be cancelled or removed if it does not conform to this policy statement.

Guidelines

  1. Any member of the University of Wisconsin-Parkside community, in affiliation with an established campus organization (i.e. an academic or administrative department, a chartered student organization, etc.) is eligible to use the display cases. Non-university groups’ requests for display case use may be granted based upon their relationship and connection to the university.
  2. Exhibits should reflect the academic, cultural, historical, scientific or social concerns of the University of Wisconsin-Parkside and its community, informing, educating and enriching the public.
  3. Exhibits that editorialize personal or partisan opinions or viewpoints are not accepted.
  4. Commercial exhibits are not accepted. Price information may not be displayed.
  5. A display may include, but is not limited to, books, book jackets, periodicals, posters, artwork, handicrafts, and other material that will visually enhance the exhibit.
  6. Display cases may be reserved for up to one month; one renewal is allowed if the display cases are available. Display cases may not be reserved on a repeated or on-going basis.
  7. The exhibitor is responsible for installation and removal of all display items. Library staff will not assist in the actual preparation, mounting, or dismantling of exhibits.
  8. The exhibitor assumes all risk of damage or loss. Inclusion of valuable objects in displays is strongly discouraged. The library is not responsible for display case items damaged, lost, or stolen.
  9. The exhibitor incurs any exhibit costs. All materials for displays, except UWP library books, are to be provided by the individual reserving the cases. The library will not provide paper, staples, thumbtacks, etc.
  10. Any UWP library books used in exhibits must be checked out before placement in exhibit cases. The library reserves the right to remove library materials when they are needed. Rubber bands, paper clips, post-it notes, sticky tape and other foreign substances should not be used on or in library materials. The library reserves the right to remove materials that may harm library property. Books should lie flat or be placed on cradles or stands to prevent damage to the pages or spine. Some books do not open well; forcing a book open to display it will result in damage that is often impossible to repair. Library reference service is available to exhibitors, as to all other library users, for guidance in the location of relevant library materials and consultation on exhibit technique.
  11. Display lettering and explanatory information should be neat and accurate.
  12. Ownership of items on display should be clearly identified.
  13. The exhibitor must provide a sign stating the title or theme of the exhibit and the name of the individual and affiliated campus unit responsible for the exhibit. The sign should be displayed inside or on top of a case, but not affixed to the glass by means of any adhesive substance.
  14. Publicity is encouraged and the UWP Library will provide limited assistance with publicity. The library may email a Library Bulletin to faculty, students, and staff and/or may place a notice in the library’s web pages.
  15. Normally, table display cases must remain in the library lobby. Rare exceptions can be made, temporarily allowing cases to be located in another part of the university.
  16. Exhibitors are expected to leave the display cases in the same condition in which they were found.

Procedures

  1. Application requests must be submitted at least two weeks prior to the desired display date. Request forms must be returned at the Check Out Desk or sent to the Program Assistant, located in the library, room 191. Display cases are reserved in the order in which requests are received, except that library-originated displays have first priority. Exhibits prepared by library staff need not be approved, but a form must be filed for informational and scheduling purposes. The library reserves the right to reassign or cancel reservations to assure the maximum and most appropriate utilization of its facilities.
  2. Exhibitors must put up their displays within two working days of the initial date requested for the use of the display cases. The library reserves the right to reassign cases if this is not done.
  3. Exhibitors must remove displays by 4:00 p.m. of the end date specified in the request. Failure to do so may result in denial of future privileges. The library reserves the right to remove any display that remains longer than the period requested, and is not responsible for the materials.
  4. The display cases are locked for the security of the displays. The library Program Assistant will lock and unlock display cases for exhibitors during set-up and dismantling.
