Position Title: Administrative Specialist, Chancellor’s Office

Employment Type: Full time – Exempt, Academic Staff

Reports To: Chancellor’s Executive Assistant

Pay Range: $45,000 to $50,000

Be part of something bigger with this “not your ordinary” administrative specialist role in the Office of the Chancellor. You will be the first point of contact for the UW-Parkside Chancellor Offices and work with the Parkside Foundation on board responsibilities as well as working with the Chancellor’s Executive Assistant and Foundation Staff & Board Members on calendar management and other duties. This person needs to be able to move in a fast-paced environment and switch priorities often. Very supportive office environment with a fun staff to work with!


Essential Job Functions

Key Job Responsibilities

  • Welcoming guests to the Chancellor’s office
  • Foundation Deposits & Invoice Processing, as well as Board/Committee Organization & Minutes
  • Back-Up Calendar Management for Vice Chancellor of Advancement & Alumni Relations
  • University Invoice Processing
  • Onboarding
  • Database Entry
  • Coordination of Events and follow-up after event
  • Tracking Alumni accomplishments in the media, preparing thank you notes
Qualifications

 

  • Bachelor’s Degree or Equivalent Experience
  • 5-6 years’ experience working with Executives

 

Salary and Benefits

Commensurate with qualifications and experience.
