SERVICES AND INFORMATION
Services - Including Intercampus Mail
DAILY SCHEDULE
The University of Wisconsin - Parkside's US Mail is collected from the Kenosha Post Office at approximately 7:00 a.m. and at times, again at 9:45 a.m. It is brought down to Mail Services for sorting and prepared for delivery.
The morning delivery for the main complex begins at 8:00 a.m. and the outlying department's route begins approximately at 8:50 a.m.
All mail collected from the main complex is sorted and prepared for the outlying area's delivery route.
The University's mail is picked up at the end of day at approximately 3:30 p.m.
SPECIAL SERVICES
We provide various services for 1st Class mail, such as Registered, Certified, Insured, and Return Receipt.
Mail requiring Registered, Certified, Insured and Return Receipt services must be brought down to Mail Services prior to 9:00 a.m. for same day processing or the mail will be processed the following day.
LABELS
We have the equipment available to label most flyers and/or envelopes, provided you follow these requirements:
- Labels must be one up.
- Labels must be in Zip Code order.
- Materials to be labeled must not contain staples.
- Thickness max. 0.25"
- Minimum Size 4" x 6"
- Maximum Size 8" x 11"
DISTRIBUTION
There are several ways of distributing memos or flyers for interdepartmental delivery.
- Communiqué Style - Each department slot in the mailroom is numbered with a certain figure that represents the number of employees in each respective department. Mail is then sorted accordingly and is the department's responsibility to ensure that each individual receives a copy. The present count is 475 copies required.
- Label - You have the option of ordering these labels through either Mail Services or on your own through the Computer Center. Keep in mind when ordering through the Computer Center that you request the labels be sorted by "NAME WITHIN OFFICE/DUTY".
INTERCAMPUS MAIL
All inter-campus mail is sorted by the individual's name and respective department. We ask all individuals to try and refrain from using building room numbers. This is extremely important during each new semester, when new personnel arrive on campus.
Do not send cash or any valuable items through the inter-campus mail. Deposits and University payments should be made at the Cashier's Office in person or through a locked bank bag.
Sending Packages or Express Mail
We offer the following carriers for overnight and other delivery services: United Parcel Service, Federal Express and U.S.P.S. Express Mail.
United Parcel Service - 2:45 p.m.
Federal Express - 1:00 p.m.
A package being sent out via Fed Ex must also have a street address. Packages must be brought down to the mailroom for processing and once processed the package is to be delivered to the Ranger Card Office (Union D1 Level) by the requesting department.
U.S.P.S. EXPRESS MAIL - Call for times
Packages must be brought down to the mailroom in order to process the paperwork.
Sending US Mail
1ST CLASS MAIL
All mail to be metered must have the appropriate fund, division and department code numbers stamped in the upper left- hand corner directly beneath the return address or on the back flap of the envelope.
- Any mail without the proper funding will be returned to the respective department for coding.
- Mail must be sealed by the departments if the exceeds 0.25" thickness.
- The mailroom will seal your mail if all flaps of the envelopes are flat and do not exceed the thickness mentioned above.
- Mailing address must be complete and correct. United States Postal Service encourages most businesses to standardize their addresses. This is something that the University will be facing in the near future.
- Envelopes should not contain paper clips and binding clips. Staples are acceptable as long as the edge is inserted toward the bottom of the envelope.
- No personal mail or packages may be sent using department funds. We will continue to pick up your personal mail and if you are unsure of the proper postage, we will weigh your mail and inform you of the proper postage.
When designing a new mail piece we request that each piece be brought down to Mail Services prior to printing. This is to ensure all mailing requirements are met.
MARKETING MAIL
There are two subclasses of Marketing Mail: Regular and Nonprofit. They each have size requirements and rates. Call Mail Services for current rates and size requirements.
We request that each mailpiece be brought down to Mail Services prior to printing. This is to ensure that all mailing requirements are met. New postal regulations require us to spend more time on processing each mailing. Keep this in mind when scheduling your mailings.
- Minimum piece requirement is 200.
- Mailing must contain identical pieces.
- Must be in Zip Code order.
- Must bear the proper funding code on the upper left hand corner just beneath the return address.
- Must have a return address.
Mailings must be brought down to the mailroom by the respective departments.
Mail Services must be notified of any future mailings. This is to ensure that enough funds are available to cover postage expenses.
BUSINESS REPLY
Those who wish to use this particular type of formatted pre-paid envelope or postcard, must have their mailpiece inspected by Mail Services prior to printing.

DELIVERY ADDRESS
Procurement Card (VISA) or Low Dollar Orders (LDO) orders need the University's physical address and delivery requirements.
Without the department/individual name and order type in the delivery address could result in delivery delay or refusal.

Surplus Property Program
The Surplus Property Program at the University of Wisconsin-Parkside is designed to remove items from campus departments that under their jurisdiction has become surplus to their needs.
The goals of the Surplus Property Program are providing an opportunity for items to be reused by other departments, working with other state agencies, local non-profits, providing regular public sales and keeping as much as possible out of the landfills.
Please use the Surplus form. Contact the Surplus Property Manager with any questions.
ANCILLARY SERVICE ENDORSEMENT

USPS has updated processes to ensure accurate addresses and to provide updated addresses for mailers.
All pieces of Marketing Mail/Standard Mail must have an ancillary service endorsement.

You must indicate one of the following:
RETURN SERVICE REQUESTED
If your mailpiece has "Return Service Requested" as shown below and is undeliverable, the mail piece is returned with the new address information affixed. First-class mail is returned at no charge. Marketing Mail is returned at either the single piece First-Class Mail or Priority Mail price -dependent on weight of the piece.
"OR CURRENT RESIDENT/OCCUPANT"
You give USPS permission to deliver the piece of mail to whomever is at the address shown, even if it is not the person or business to whom you have addressed the mail piece.
The mailer updates the address information in the file and mails a new piece to the corrected address. No electronic data is available and is not eligible for any ACS services.
ANCILLARY SERVICE ENDORSEMENT PLACEMENT
- Directly to the left of the postage area and below or to the left of any rate marking.
- Directly below the return address and funding code.
- Directly above the delivery address area which includes the delivery address block and any related non-address elements such as a barcode, keyline, or optional endorsement line.
