Position Title: Administrative Assistant I
Employment Type: Part Time (at least 50% FTE), University Staff
Reports To: The Administrative Assistant I will report to the College of Natural and Health Sciences Associate Dean (who is also the Director of the Center for Health Sciences) and will be supervised by the Dean’s Assistant
The successful candidate will primarily support the staff of the College of Natural and Health Sciences Associate Dean, Center for Health Sciences, and College Advising Staff. The candidate will provide support to the staff within these programs as well as the students who seek out these services. In addition, this person will serve as the Program Manager for the newly established Ascension Scholarship Programs. In that capacity, this person will help the Ascension Scholars Program Recipients complete their degrees, prepare for successful careers, and make the most of opportunities in the program. The program manager will meet with each student on a biweekly basis, and will work with campus partners to deliver academic, financial, and social support strategies needed for success as UW-Parkside students. The program manager will develop the program to be successful for the long term. They will recruit students, create opportunities for student engagement in the community, coordinate healthcare mentoring and clinical placements, and serve as a liaison to our partners at Ascension All Saints.
Essential Job Functions
- Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
- Tracks, stocks, orders, and inventories office supplies to ensure adequate materials are available for workplace operation
- Serves as first point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities
- Manages Associate Dean / Director of the Center for Health Sciences schedule and calendar
- Provides and facilitates communication between Associate Dean / Director of the Center for Health Sciences and students
- Key point person for Ascension Scholarship program
Qualifications
- Associate Degree, or higher
- At least two years’ experience providing administrative support
- Experience working in Higher Education
- Experience with Customer Service
The person hired for this position will work closely with many sections within the College of Natural and Health Sciences including the Dean, Associate Dean / Director for the Center for Health Sciences, the Advising Staff within the College, the Dean’s Assistant, and the students within this College. This position will be housed within the College in close proximity to all these stakeholders.
