Position Title: Student Processing Specialist
Employment Type: Full-Time, University Staff, Hourly
Reports To: The Student Processing Specialist will report to the Associate Director of Operations & CRM Administrator
Salary: Starting at $17/hour, commensurate with qualifications and experience.
The Student Processing Specialist in the Admissions Office will work independently to process student applications (special, first year, transfer, re-entry, international, and graduate) for admission to the university. The work includes data downloads, data entry, posting fees, and validating the accuracy and integrity of the data entered. Providing and modifying student record information requires that the incumbent must demonstrate integrity and dedication to maintaining student records and confidentiality. This position requires attention to detail, strong organizational skills, comfort working with various technology systems, and working independently as well as with a team. Multiple systems including the UW System electronic application (EPCS), student information system (PeopleSoft), document imaging system (Perceptive Content), customer relationship management system (Slate) and potentially others are used in the process. The Student Processing Specialist must fully understand, interpret, and communicate university policies and procedures related to admissions accurately and effectively to students, faculty and staff. As a member of the Admissions team, the Student Processing Specialist must work to create and maintain a welcoming, equitable, and inclusive work environment.
Essential Job Functions
Some of the key responsibilities for this position will include:
- Process applications for admission - data downloads, data entry, posting corresponding fee payments, validating the accuracy and integrity of the data entered, maintain workflow of materials, and update records as necessary.
- Create checklists (in PeopleSoft) of required items for admission and make initial residency determinations for tuition purposes for applicants. Determine admissibility for special (non-degree seeking) and re-entry students at time of application.
- Review applications to make admissions decisions. Examine transcripts, evaluate test scores, transfer credits, essays, and other pertinent materials to determine admissibility based on established criteria and/or refer applications to Admissions Counselors for further evaluation as needed.
- Correspond with applicants, students, faculty, and staff via phone, email, and/or in-person as needed to follow-up on processing needs. Ensure high quality of customer service through all interactions.
- Create and maintain documentation of policies, processes, and procedures for specific position. Participate in all trainings and cross-training exercises.
- Participate on work teams, project teams at the departmental, university and UW System level as assigned. Participate in regular testing of various electronic and database systems as needed.
- Adhere to the underlying requirement of data accuracy, integrity, and confidentiality in all tasks. Understand and comply with FERPA regulations related to the disclosure of student record information.
- Assist with departmental functions as needed related to campus visits, recruitment events, admitted student events, and orientation. Perform other duties as assigned by supervisor.
