POSITION SUMMARY

The University of Wisconsin-Parkside invites applications for the position of Operations Coordinator.

The Operations Coordinator is responsible for the daily operations of the service and facility areas of the Parkside Student Center including management of the Ranger Card ID system, Campus Concierge services, supervision of Campus Concierge and Production Services student staff, direct management and service to events, and knowledge and use of audio-visual equipment. As part of the Student Center team, this position is an integral part of the Conference & Event Services team and is supervised by the Assistant Director for Operations.

 

QUALIFICATIONS

Required:

  • Bachelor’s Degree
  • Two to four years of professional experience in event management-related field (event production and management, facility scheduling, facility student staff supervision) in a higher education/Student Center setting
  • Two to four years of professional experience with ID Card management software

Preferred:

  • Master’s Degree
  • Documented experience working with event management system software

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

ID Card Operations: 

  • Develop and recommend Ranger Card ID operating and administrative polices along with long term goals, objectives and priorities.
  • Manage the delivery of Ranger Card services to program participants. Set and communicate program priorities and performance standards.
  • Develop and maintain automated or manual systems and procedures to facilitate program operation.
  • In collaboration with Campus Technology Services responsible for ensuring maintenance and development of the Ranger Card database, software upgrades, interfaces with other university computer systems, and hardware installations.
  • Manage ticketing software for events.
  • Reconcile all operations accounts.

Event Management:

  • Integral part of the Conference & Event Services team; attend weekly meetings and client meetings. Coordinate facility requirements with Catering, Student Center staff and Dining Services.
  • Direct manager of, and service to, Student Center and certain all-campus events.
  • Process and follow up on event details regarding audio-visual needs, setup/teardown, timeline and staff needs.
  • Order technical equipment and supplies as authorized.
  • In collaboration with campus audio-visual services and the Student Center team make recommendations for equipment and technology upgrades.
  • Assure the daily operations of facilities and service areas in the Student Center including building security, risk management and building safety.

Administration and Personnel Management:

  • Monitor expenditures and budget for units.
  • Provide training, supervision and evaluation of the Campus Concierge and Production Services student staff.
  • Develop reference and training manuals for student staff with consistency to services offered.
  • Attend unit related meetings, including the weekly Reservations team meeting, and as appropriate, service on university committees.
  • Review and interpret policies and procedures related to service areas.
  • With Student Center team develop goals for unit including equipment repair and replacement.
  • Serve as a designated Campus Security Authority (CSA) for Clery Compliance.
  • Perform other duties as assigned.

Event Management:

  • Must be able to lift up to 50 lbs.
  • Transportation of audio-visual and building equipment.
  • Mobility and dexterity to reach climb ladders and bend for storage shelves.
